Exhibitor Registration Guidelines

25th Anniversary 3 Rivers Wet Weather Sewer Conference
November 6-7, 2024
Monroeville Convention Center

Please read these guidelines before completing the registration form. 

Registration will not be considered complete until payment is received by 3RWW.  Please note that we will accept exhibitor registrations after August 30, but we cannot guarantee your company information will be included in the printed conference booklet.

· Booth Fee: 10 X 10 - $850,   10 X 10 Corner/End Booth - $1,000,   OR    20 X 20 - $1,900

The booth fee covers your exhibit space and one staffer per booth. (Large-scale booths include two staffers.) Additional booth personnel staffing your booth are $120/each. Each registration includes access to the educational sessions, conference materials and all meals/refreshment breaks throughout the conference.

· Exhibit Booths

Each exhibit space is 10 ft. x 10 ft. (100 square feet) will include a 6 ft. X 30 in. skirted table, two chairs and a wastebasket. Large-scale booths will be 20 X 20 (400 square feet) and will include 2 tables, 4 chairs, and a wastebasket. Each booth will be separated by pipe and drape. Exhibitors will be in the North Hall of the Monroeville Convention Center, which is a warehouse-like (uncarpeted) space.

If two or three booth spaces are purchased by a single exhibitor, the pipe and drape will be positioned to section off a 20 ft. x 10 ft. or 30 ft. x 10 ft. space. Exhibitors also will have wireless internet access free of charge. Please note:  If you need a 110v electrical connection, you will need to order that connection ($85 total for both days) through the MCC service order form

· Large-Scale Exhibit Space & Demonstrations

For exhibitors who have large-scale displays or want to demonstrate large equipment, we offer exhibit spaces of 400 square feet for a discounted price of $1,900. Vehicles and other large pieces of equipment can be brought into the exhibit hall for display. If you are interested in a customized space larger than 400 square feet, please e-mail Tracy Schubert or call 412-721-6868.

An outdoor parking area outside the North Entrance of the Convention Center is available for demonstrations that are not permitted inside. (i.e. No chemicals can be mixed inside the Convention Center). We do not have a specific schedule of demonstrations, but if you plan to do a demo, it must be scheduled during one of the 45-minute session breaks and/or the 90-minute lunch break. Exhibitors are free to promote their demonstrations through fliers and posters. If requested, we will also make an announcement prior to the session break/lunch break informing attendees of the demonstration. 

Booth Selection

Exhibitor booth locations will be assigned on a first-come, first-served basis. On the registration form, you will be asked for booth location choice. Once your registration form is received, your booth request will be reviewed and assigned. You will receive an e-mail notification of your booth assignment. Payment will be required after your booth assignment to lock in your spot. 

If the same booth location is requested simultaneously, the exhibitor who has the most longevity as a 3RWW conference exhibitor and/or conference sponsor will get priority.  In this situation, we will contact you to select an alternate booth location.  We will update and post an exhibit hall map for your reference on our web site to assist you in selecting a booth location that is still available.

· Electricity Request/Special Services

To request electricity (110 amp - $85 for quad box installation for both days) or other services as necessary, please complete the Monroeville Convention Center (MCC) Service Form and submit it to the MCC. Please note that if you want to coordinate with your neighboring exhibitor, you can share the cost of a quad box installation that will provide you both with ample electricity.  If you need special audio-visual equipment or services, please contact Tracy Schubert for the appropriate audio-visual contact.

Additional Booth Personnel

Please DO NOT register additional exhibit personnel through the attendee registration form. If you have already submitted your Exhibitor Registration Form to 3RWW and need to change the names of registered exhibit staff or you need to register additional personnel, please contact 3RWW. It is important that we have the correct names and e-mail addresses for individuals staffing your booth to provide them with the appropriate EXHIBITOR badge and instructions for conference set-up, tear down, exhibit hall times, etc.

· Your Company Profile

Your 50-word company profile will be included in the conference booklet distributed to more than 1,500 potential attendees, 500+ conference attendees, and countless 3RWW website visitors. Due to production deadlines, we must receive the company description with your completed application or your company profile by August 30 or we cannot guarantee your description will be listed. The Conference Contact person listed on your registration form and their contact information will be printed with your company profile.

· Exhibitor-Sponsored Prize Drawing

Increase traffic to your booth by participating in our exhibitor-sponsored prize drawing.  For only $60, exhibitors have the opportunity to increase their booth traffic through a prize-drawing strategy. Conference attendees are provided an entry form that requires them to visit all participating exhibitors to enter the prize drawing. One lucky winner will take home the ever-popular gift card tree, typically valued at more than $1,000 for places like Amazon, Lowe’s, Target, Giant Eagle, etc. If interested, please be sure to complete that portion of your registration form and include the $60 payment in your booth registration fee.

· Advertising & Sponsorships

Exhibitors have a great opportunity to market their companies through advertising space in our conference booklet and sponsorships (available on a first-come, first-served basis). All sponsors will receive special signage at the conference, recognition during the conference session announcements, and a company logo in the conference booklet (if sponsorship is obtained before the booklet printing). See Advertising & Sponsorship Opportunities for complete details and pricing.

· Registration Submission and Payment

You may complete and submit your registration online or you may complete the printable Exhibitor Registration form (Microsoft Word document), and either send it via e-mail to 3RWW or mail it to:

Total payment is required to complete your registration. Checks should be made payable to 3 Rivers Wet Weather.  Please mark the appropriate box on your registration form and 3RWW will send an invoice (pdf format) to you via email. 

Credit card (Visa, Mastercard, Discover and Amex) payments can be made through Paypal for a 3% transaction fee.  If you choose to pay by credit card, please mark the appropriate box on your registration form and 3RWW will send an invoice to you via Paypal. (Please note: You do not need a Paypal account to complete your payment.)

Your payment should cover the exhibit booth space, any additional exhibit booth personnel, and participation in the prize drawing (if desired). If you are a sponsor and/or advertiser, you may include those fees in your registration payment as well. 

Cancellation

If you cancel your exhibit booth space less than 45 days prior to the conference, we cannot guarantee a refund.

 Room Reservations

A block of rooms has been reserved at the Hampton Inn Monroeville less than two miles from the Monroeville Convention Center (3000 Mosside Blvd. Monroeville, 15146) at a reduced cost of $119/night if reserved by October 7, 2024. Call the Hampton Inn at 412-380-4000 and mention 3 Rivers Wet Weather or make your reservation online.

· Conference Schedule

Specific conference details (set-up times, tear-down schedule, etc.) will be sent to all registered exhibitors closer to the conference. Typically, setup is 4-10 p.m. the day prior to the conference (November 5), although often we are able to begin earlier if the Convention Center completes the exhibit hall setup ahead of schedule. Tear down can begin after lunch on the second day (Nov. 7) but we request that exhibitors do NOT tear down early.
